7 Easy Steps to a Winning Response

Please email us the RFP you want to bid: It is impossible to provide pricing without first seeing the RFP.

We custom build each response to the fulfill the RFP requirements.

Step 1

After we review the RFP, we send you a breakdown of all the requirements along with our pricing and
a Scope of Services based on the requirements in the RFP and the requested response format.

Step 2

If you agree to our terms and pricing, we require that the signed contract be emailed or faxed to us and a 50 percent down payment be sent to our corporate office in Denver. We accept a check by overnight express or a credit card. As soon as we receive the contract and your deposit, we immediately start the process.

Step 3

We send you a list of questions for you to answer, and our Project Manager begins working with your designated contact. We help you develop a timeline to ensure the response is completed by the due date. Please note that the contact you designate must be available to respond to our questions, compile information, and must have the authority to approve emailed PDF proofs. The timeline is very specific, and to avoid additional charges for late copy or pictures, you must respect the schedule.

Step 4

The cover of the response and the section divider tabs are the first graphic design proofs you will see. The cover and the tabs set the design tone for the entire response, so please make sure you are comfortable with the look before you give your approval. The divider tabs are custom designed and custom cut. A change to the tabs after approval will incur additional charges.

Step 5

Please understand that your company must supply the text. We help you write the response. We do extensive copy editing, and we ensure that every requirement in the RFP is met. We also make suggestions as to what we think needs to be added or beefed up, but the initial writing must come from you.

Step 6

After you approve the cover and tabs, we start building pages using the text, graphics, and pictures you have sent us. We start with tabs for which we have received all the pieces. Once that tab is completed, we send you a First PDF proof. You can tell us what corrections to make by either sending us an email or, if you have a full version of Acrobat, you can use it to markup the pages. We continue to send you proofs of each section. When all corrections have been made, we put all the pages together into a Second Proof along with the covers and the tabs. Once you have made corrections, we send you a Final Proof. At this point any additional corrections should be minor. 

Step 7

Once you approve the Final PDF proof, we will print and bind the response (or any other format defined in the RFP). We will send the printed responses to you by overnight FedEx, or we can FedEx directly to the Selection Committee. Before the response leaves our office, we need final payment in the form of a check by overnight express to our Denver office or payment by credit card.

The entire process normally takes about 10 working days not counting weekends.
